Most Mac dictation problems come down to five causes: Dictation is turned off, Voice Control is turned on, the key you press is not the shortcut Dictation is set to, the wrong microphone is selected, or your language needs a download or an internet connection. Apple Dictation problems
Mac Dictation not working is the main fix page. It works through Apple's own checklist from If Dictation on Mac doesn't work as expected: confirm Dictation is on, check the language, confirm the shortcut, check the microphone, raise the input volume, reduce noise and check the connection. Apple says "You may need an internet connection", and the text below the Dictation switch tells you whether general dictation is processed on your Mac.
- Mac dictation shortcut: the default is the Microphone key or Fn-D. Apple's Keyboard settings page lists four choices for Press fn key to, and only one of them starts Dictation.
- Turn off Dictation on a Mac: how to switch it off, stop it popping up, and why a session ends. Apple's Dictation guide says it stops when no speech is detected for 30 seconds.
- Siri vs Dictation: on keyboards with a Microphone key, a quick press starts Dictation and a press and hold starts Siri.

Voice Control problems
Apple puts it plainly: "When Voice Control is on, you use Voice Control to dictate text; standard macOS Dictation isn't available." If your Dictation shortcut stopped working after you tried Voice Control, that is the reason.

Problems inside one app
Dictation types at the cursor, so most "it does not work in this app" problems are about the app's own feature, its keys, or where the cursor is.
- Dictation in Word not working: Microsoft's Dictate button and Apple's Dictation fail for different reasons. Work out which one you are using first.
- Dictate in Outlook: Outlook's Dictate needs Microsoft 365 and a connection; Apple's Dictation is the fallback.
- ChatGPT dictation not working: fix the browser's site permission and the Mac's microphone setting.
- Dictate to Gemini and Perplexity: Gemini, Perplexity, Apple Dictation and some dictation apps can all want the Fn key, so decide which one owns it.
- Dictate in Excel and Google Sheets: Return finishes the cell and Escape can cancel what you entered, so stop Dictation before pressing either.
- Voice to text in the Mac terminal: a shell runs whatever reaches it when Return is pressed.
- Voice typing for WhatsApp and Messages: the microphone or waveform button in the app sends audio, not typed text.
Problems with a third-party dictation app

- Fn key opens emoji instead of recording: the macOS Fn setting and the app's own hotkey are separate controls.
- Change the hotkey: choose a shortcut no other app already uses.
- Speech model download stuck: tell downloading, loading and a real error apart before retrying.
- Recorded but did not paste: separate recognition from insertion, then check permissions and focus.
- Text landed in the wrong window: text goes to whatever field has focus when it is inserted. Stop before anything else is sent.
- Report a wrong-destination paste: what to tell your organisation without spreading the text further.
- Formatting failed: check whether the recognised words survived before you dictate again.
- Words appeared after silence: OpenAI's Whisper model card warns that output can include text not spoken in the audio.
- Dictionary correction did nothing: a vocabulary entry guides recognition; it is not a guaranteed find-and-replace.
When the words are wrong, not missing

Why did Mac dictation suddenly stop working?
The most common reasons are Voice Control being switched on, the Dictation shortcut or Fn key setting being changed, a different microphone being selected after you connected a headset, or a lost internet connection for a language Apple processes on its servers. Why does my Mac open emoji when I press Fn to dictate?

Why does Dictation work in Notes but not in another app?
Dictation types wherever the cursor is, so click in the text field first. If it still fails, that field may not accept dictation, or the app has its own voice feature that is a different thing. Dictate in every Mac app lists what each app documents.
Can I use Dictation and Voice Control at the same time?
