To dictate in OneNote on a Mac, choose Home > Dictate while signed in to Microsoft 365, wait for the button to start listening, and speak. PowerPoint is different: Microsoft documents its Dictate button for PowerPoint for the web (in Edge, Firefox or Chrome) and for Windows, not for PowerPoint on a Mac. In the PowerPoint Mac app, click in a placeholder or the slide notes and use Apple's built-in Dictation instead. Microsoft's dictation needs a reliable internet connection; Apple's is free and built in.

Does OneNote for Mac have dictation?
Yes. Microsoft's Dictate your notes in OneNote page has a Microsoft 365 for Mac tab:
- Go to Home > Dictate "while signed into Microsoft 365 on a mic-enabled macOS device."
- Wait for the Dictate button to turn on and start listening.
- Start speaking to see text appear on the screen.
The gear icon offers Spoken Language, Microphone, Auto Punctuation and Profanity filter. You can say punctuation ("period", "comma", "new line") and symbols. Saying "delete" removes the last word or punctuation mark, and "delete that" removes the last utterance. Microsoft says the formatting commands, such as "bold last word" and "add comment", work "with the web version of OneNote."
Does PowerPoint for Mac have dictation?
Microsoft's support pages do not describe dictation in PowerPoint for Mac as of 1 October 2026. Its Dictate your presentations and slide notes in PowerPoint page has tabs for Web and Windows only. The Windows tab says the feature "is available only to Microsoft 365 Subscribers for Windows desktop clients." Microsoft's Dictate in Microsoft 365 hub does list "PowerPoint for Microsoft 365 for Mac" under Applies To, so if your copy shows a Dictate button, try it.
On a Mac, the documented Microsoft route is PowerPoint for the web:
- "Sign in to your PowerPoint for web using Edge, Firefox, or Chrome." Safari is not on that list.
- On the Home tab, select Dictate in the Voice section.
- Wait for the button to turn on, then move your cursor to a placeholder or to the slide notes and speak.
- Say punctuation explicitly, and fix mistakes with the keyboard without turning the microphone off.
Both Microsoft pages give the same privacy note: "This service does not store your audio data or transcribed text. Your speech utterances will be sent to Microsoft and used only to provide you with text results."
How do you dictate with Apple Dictation?
This works in the PowerPoint and OneNote Mac apps, in the web versions, and without a Microsoft 365 subscription. Apple's Dictation guide for macOS 27 says "you can speak to enter text anywhere you can type it."
- Turn on Dictation once in System Settings → Keyboard → Dictation. On older macOS versions the wording may differ.
- Click in the slide placeholder, the slide notes or the OneNote page.
- Press the Microphone key if your keyboard has one, or your Dictation shortcut, and speak.
- Stop with Escape or the same key.
Setup is in How to use voice to text on a Mac. See the Mac dictation shortcut guide, Mac dictation commands and Mac Dictation not working.
When is a push-to-talk dictation app worth it?
Consider one if you have no Microsoft 365 subscription, want the same hold-to-talk key in PowerPoint, OneNote and every other app, or want speech recognised on the Mac rather than sent to a service.
SuprFlow is one example. It is a menu-bar app for Apple Silicon Macs on macOS 14 or later. Hold the Fn key, speak, release, and it pastes the text into whichever text field has focus. Speech recognition runs on the Mac after a one-time model download; see https://suprflow.app/requirements. Default formatting is local cleanup of punctuation, capitalization and numbers. It costs $125 once (as of 1 October 2026), with no free tier or trial. It has no PowerPoint or OneNote voice commands.
Because it pastes at the cursor, it should work in an ordinary text field; test it in a scratch slide or page with a harmless sentence first. We have not run a controlled benchmark against Microsoft's or Apple's dictation. If you already pay for Microsoft 365 and work in OneNote, its own Dictate button is the natural first choice.
Which route should you use?
| Microsoft Dictate | Apple Dictation | System-wide app (SuprFlow as the example) | |
|---|---|---|---|
| OneNote for Mac | Yes, Home > Dictate | Yes | Should work; test first |
| PowerPoint for Mac app | Not documented | Yes | Should work; test first |
| PowerPoint for the web | Yes, in Edge, Firefox or Chrome | Yes, any browser | Should work; test first |
| Needs internet | Yes | Depends on Mac and language; check Keyboard settings | Not for speech recognition; licence checks and updates use the network |
| Voice editing commands | Delete; formatting in OneNote for the web | Punctuation and line breaks | No |
| Cost | Microsoft 365 | Free with macOS | $125 once |
What goes wrong when dictating slides and notes?
- Text lands in the wrong box. Dictation types where the cursor is: the title, a body placeholder, the notes pane, or a OneNote container. Click the exact spot first.
- No Dictate button in PowerPoint for Mac. That matches Microsoft's documentation. Use PowerPoint for the web or Apple Dictation.
- Dictate button greyed out. Microsoft says to make sure the file "is not in a Read-Only state."
- Microphone in use. Microsoft says to make sure "no other application or web page is using the microphone." Do not run Microsoft Dictate and Apple Dictation at the same time.
- Safari and PowerPoint for the web. Microsoft lists Edge, Firefox and Chrome for Dictate.
- Silence. Apple says Dictation stops after 30 seconds without speech.
What should you check before you present or share?
- Slide titles and bullet text, which audiences read closely.
- Names, product names, figures and dates.
- Every "not" and "no".
- Speaker notes, which may be shared with the file even if you never show them.
- Words Microsoft marks as possible mishearings; it says to select Ignore if the word is correct.
- That nothing confidential was spoken into a shared notebook or deck.
On privacy: Microsoft says its dictation service does not store your audio or transcribed text, but the words you dictate are saved in your presentation or notebook like typed text, wherever that file is stored and shared. See where dictated text goes after insertion.
