Dictate in Numbers and Keynote on a Mac: cells, slides and notes

How to dictate into Apple Numbers cells and Keynote slides and presenter notes on a Mac, why cells and formulas need care, and what to check before you share.

To dictate in Numbers or Keynote on a Mac, place the insertion point where the text should go, choose Edit → Start Dictation, speak, and click Done below the microphone when you finish. That is Apple's own documented route in both apps, and it is the same free Dictation built into macOS. In Numbers, double-click a cell first so you add to it rather than replace it, and type formulas instead of speaking them. In Keynote, dictation works well for presenter notes.

How does Apple say to dictate in Numbers and Keynote?

Apple's Numbers and Keynote guides (version 15.4 for Mac) give the same steps:

  1. Open the spreadsheet or presentation.
  2. Place the insertion point where you want to begin dictating, or select the text you want to replace.
  3. Choose Edit → Start Dictation. The first time, follow the guided setup.
  4. When the microphone appears, speak. Say punctuation by name, such as "comma".
  5. Click Done below the microphone.

Apple adds that you can change the Dictation shortcut and language in System Settings → Keyboard. The Microphone key or your shortcut works too. More in How to use voice to text on a Mac, the Mac dictation shortcut guide, Mac dictation commands and Mac Dictation not working.

Neither guide describes a separate voice-to-text feature of its own. The audio features are different jobs: Numbers and Keynote can record audio onto a page or slide, and Keynote's Play → Record Slideshow records "voiceover narration" for playback or video export (Record presentations).

How do you dictate into a Numbers cell?

Apple's Add text to tables page explains why cells need care:

  • Click a cell, then start typing, and "The existing content is overwritten." Dictation behaves like typing, so a single click then dictation replaces what was there.
  • Double-click a cell "to make the insertion point appear" when you want to edit or add to it.
  • Line breaks in a cell need Shift-Option-Return.
  • Autocomplete suggests text already in that column. Check that a suggestion was not accepted in place of what you said.

For long text, Apple suggests pasting paragraphs into a cell after double-clicking it. Dictating into a text box or a note, then pasting, gives you a chance to read it first.

Formulas. Apple's formula guide says typing the equal sign (=) in a cell opens the Formula Editor. Build formulas by clicking cells and typing operators. Dictation suits labels, comments and notes, not formulas or long columns of numbers.

How do you dictate presenter notes in Keynote?

Apple's presenter notes steps:

  1. Click the View button in the toolbar and choose Show Presenter Notes.
  2. Select a slide in the slide navigator.
  3. Click in the white presenter notes area below the slide.
  4. Start Dictation and speak what you plan to say.

You can also add or edit notes in the presenter display during a rehearsal. Apple notes that Apple Creator Studio subscribers can have Keynote write presenter notes automatically on macOS 26 or later; that writes notes for you, rather than transcribing your voice.

For slide text, click into the title or body placeholder first. Short, punchy slide text is often faster to type; spoken notes are where dictation saves the most time.

When is a push-to-talk dictation app worth it?

If you build decks and reports all day and also write email and chat, a hold-to-talk key that works the same everywhere is the reason to try one. A personal dictionary helps with client and product names on slides.

SuprFlow is one example. It is a menu-bar app for Apple Silicon Macs on macOS 14 or later. Hold the Fn key, speak, release, and it pastes the text into whichever text field has focus. Speech recognition runs on the Mac with an on-device model; optional cloud formatting sends transcript text, not audio, to the provider you pick. Default formatting is local cleanup of punctuation, capitalization and numbers. It costs $125 for lifetime access on up to 5 Macs you own, with no subscription and a 7-day refund on a first purchase (as of 3 October 2026).

Because it pastes at the cursor, it should work in an ordinary text field; test it in a spare cell and a spare slide with a harmless sentence. Since it pastes, the Numbers rule applies: double-click the cell first. We have not run a controlled benchmark against Apple Dictation.

What goes wrong when dictating in Numbers or Keynote?

  • Overwritten cells. A single click then dictation replaces the cell's content.
  • Return moves on. Return finishes a cell entry in Numbers. Apple says "new line" is "equivalent to pressing the Return key once", so use Shift-Option-Return for a break inside a cell.
  • Numbers as text. "Fifteen percent" may arrive as words or digits. Check the cell format and value.
  • Locked tables. Apple says that if you cannot modify a table, choose Arrange → Unlock.
  • Silence. Apple says Dictation stops after 30 seconds without speech.

What should you check before you share?

  • Every figure, in the cell and in any chart that uses it.
  • That no cell was overwritten by accident.
  • Names on slides, letter by letter.
  • Presenter notes that match the slide order.
  • Totals and formulas still pointing at the right cells.

On privacy: Apple says you choose where a spreadsheet is saved, and that saving it in the Numbers folder in iCloud Drive makes it appear on all your devices (Save your spreadsheet). See where dictated text goes after insertion.
