Voice to text for notes on a Mac: capture, tidy and file

How to take notes by voice on a Mac: dictation and audio transcripts in Apple Notes, Notion and Obsidian, meeting versus personal notes, and a routine.

To take notes by voice on a Mac, click in a note and press the Microphone key to start Apple's free Dictation; your words are typed as you speak, in Apple Notes, Notion, Obsidian or any other notes app. If you want the audio kept as well, Apple Notes can record and transcribe in the same note on Macs with M1 or later. Meetings are a different job: a dictation tool only types what you say, so recording other people needs a meeting tool and their consent.

Publisher note: SuprFlow publishes this guide and is one of the products discussed. Competitor details come from each company's own pages, checked on 1 October 2026. Prices and features change; confirm before you buy.

How do you dictate notes in Apple Notes?

Notes uses the Dictation built into macOS. Apple's Dictation guide (macOS 27 edition) says to turn it on in System Settings → Keyboard → Dictation, then start it with the Microphone key, your Dictation shortcut or Edit → Start Dictation. You can dictate "anywhere you can type it," and Apple says commas, periods and question marks are added automatically in supported languages. Dictation stops "when no speech is detected for 30 seconds," which is easy to hit when you pause to think; just start it again. Setup details are in How to use voice to text on a Mac.

How do you record and transcribe audio in Notes?

Apple's Notes guide (macOS 27, 26 and 15 editions) gives these steps:

  1. Open a note and click the attachment button in the toolbar, then Record Audio.
  2. Click record. Pause and resume as needed.
  3. Click the transcription button to see a live transcript.
  4. When you finish, click Done.
  5. Later, open the recording and choose Add Transcript to Note or Copy Transcript.

Apple says "audio transcription is available on Mac computers with M1 or later" when the device language is one of the supported ones (English in several regions, Spanish, Portuguese, Italian, French, German, Japanese, Korean, and Simplified and Traditional Chinese). It also notes that "deleting the audio recording also deletes the transcript," so add the transcript to the note first if you want to keep the text. The guide says its features "are available when using iCloud notes," and some "aren't available when using accounts from other providers."

If you already have a recording elsewhere, see How to transcribe a voice memo on a Mac.

What about Notion and Obsidian?

Both work with Dictation in the same way: click in a block or note and start it. Dictate in Notion and Obsidian on a Mac covers what each app does offer, including Obsidian's audio recorder and the security questions to ask before installing a community speech-to-text plugin.

Are meeting notes the same as voice notes?

No, and mixing them up causes problems.

  • Personal voice notes are your own words: an idea, a summary after a call, a to-do list. Dictation handles these well.
  • Meeting notes capture several people talking. That needs a tool that records or listens to the meeting. Notion, for example, says its AI Meeting Notes "transcribes your meeting and identifies key points and action items," requires its Business or Enterprise plan, and tells users to "disclose your use of AI Meeting Notes and obtain consent from all meeting participants before proceeding."

A dictation app is not a meeting recorder. A simple alternative that needs no recorder: after the meeting, dictate your own summary of decisions, owners and dates while they are fresh. Dictate meeting action items by voice shows how to check owners and deadlines.

A capture, tidy, file routine

Voice notes pile up quickly. Three steps keep them useful.

  1. Capture. Keep one inbox note, or one daily note, for anything spoken. Dictate in short bursts. Say what it is first: "Idea," "Call with Sam," "To do."
  2. Tidy, the same day. Read each burst. Fix names, numbers and dates, which are the words dictation gets wrong most. Delete what you no longer need. Add a heading or tag.
  3. File. Move each tidied note to where it belongs: a project folder, a task manager, a calendar entry, a document. A note left in the inbox is a note you will not find.

Try it with this fictional burst: "Call with Dana Whitlock. Shipment moved to the 18th, not the 8th. Quote is 2,450 dollars. To do: send revised invoice Friday." After dictating, check the name, both dates, the amount and the word "not."

Where do voice notes go?

Two separate questions: where speech is turned into text, and where the note is stored. Apple says Keyboard settings show whether general Dictation is "processed on your device and not sent to Siri servers." The note itself lives wherever that notes account syncs, such as iCloud, a work account or On My Mac. Can I dictate a private draft in Apple Notes? explains how to tell which account a note belongs to.

When is a dictation app worth it for notes?

If you capture a few notes a day, Apple Dictation is enough. A dedicated app helps if you take many quick voice notes across apps and want push-to-talk, or if names and jargon keep coming out wrong.

SuprFlow, which publishes this guide, is one option for Apple Silicon Macs with macOS 14 or later. Hold the Fn key, speak, release, and the text is pasted into the note your cursor is in, in any notes app. Speech is recognised on the Mac with a downloaded model, Default formatting is local cleanup of punctuation, capitalization and numbers, and a personal dictionary handles names. Its local history keeps up to 100 recent transcriptions, and Control-Command-V re-inserts a recent one if a note landed in the wrong window. It has no meeting recorder and does not transcribe audio files. It costs $125 once, with no free tier or trial.

Questions people ask

Yes, for audio recorded in Notes on a Mac with M1 or later, in supported languages. Apple's Notes guide does not describe importing an existing audio file for transcription.
