Apple Notes can be a convenient place to review a rough dictated sentence before moving it into a CRM, matter system, or working paper. First check which Notes account owns the folder. Apple says notes in On My Mac are stored locally on that computer, while iCloud Notes sync through the Apple Account. A note under a work or personal cloud account has that account's storage and sharing route. Do not assume the Notes app icon means the draft is local.
For a bank, law firm, or audit team, also check whether Notes itself is an approved staging place. A local draft may still be backed up, and moving the final words creates another copy. The official-record guide explains why SuprFlow history and a scratch note should not silently become the firm's final record.
A safe first-draft exercise
- Use a fictional note, such as “Harbor test 274 did not approve the transfer.” In Notes, choose the approved folder and confirm whether it is On My Mac or a synced account.
- Click in the note body. Dictate with SuprFlow's normal mode and wait until the final text appears. SuprFlow uses a delayed clipboard-backed paste to the current focus; keep Notes active through completion.
- Compare the dictated text with what you meant. Check names, figures, dates, negations, and any cleanup that changed wording. If the note needs exact quotations, preserve or re-enter them carefully.
- Move the reviewed version into the approved client or business record. Verify destination, account, matter or record number, and save state. Record whether the scratch note may be kept or must be removed under firm policy.
- If policy requires deletion, handle the Notes copy, SuprFlow history, clipboard-manager history, destination versions, and backups as distinct places. Deleting one does not erase all the others.
This workflow adds a human review point before a live destination. It can also create extra retained copies, so use it only when the firm's records and privacy process allows a scratch note. A firm that forbids Notes for client material should use its approved staging field or a fictional test only.
Questions people ask
Is an “On My Mac” note never uploaded?
Apple describes that Notes account as locally stored and unavailable on other Apple devices or iCloud.com. Device backup, management, and other software remain separate routes; verify your Mac's actual controls.
Is an iCloud note private because speech recognition was local?
Local speech recognition covers the transcription stage. The finished text entered an iCloud-backed destination with its own sync and sharing behavior.
Should I keep the raw SuprFlow history as the official note?
For a regulated workflow, use the firm's approved record system and review procedure. SuprFlow history can contain raw, cleaned, and formatted drafts and is not automatically the authoritative record.
