How to dictate a client-call attendance note on a Mac

A lawyer's practical workflow for a reviewable attendance note: matter-safe setup, a fictional example, fact checks, confidentiality, and final filing.

The call ends and you need an attendance note while the details are fresh. A voice-to-text app can help create the first draft, but it cannot decide what advice was given, whether a statement was a fact or an allegation, or whether the note belongs in the matter file. The useful workflow is: open an approved destination, dictate a structured account, check material wording, and file the reviewed note under the firm's rules.

SuprFlow recognizes speech locally on the Mac and its default cleanup stays on the device. Its optional Cloud API formatter sends transcript text to the selected provider. Check which path your firm has approved before speaking about a real client. The ABA's Formal Opinion 512 addresses lawyers' duties when using generative AI, including competence, confidentiality, and review of outputs. It does not approve a dictation product or prescribe one attendance-note format; your jurisdiction and firm policy govern the actual work.

Use a six-part note, then verify it

This fictional example is a practice script, not a template for every matter:

Matter: Project Juniper test file. Call at 10:20 with fictional client Casey Vale. Present: Casey and counsel. Casey said the draft was received on Tuesday; Casey did not approve clause seven. I explained that the proposed date remains under review and gave no assurance of completion. Agreed action: I will send the marked draft to Casey after partner review. Open question: confirm the date of the regulator's response. This is my recollection, not a verbatim transcript.

After dictation, check six fields against contemporaneous notes or an approved recording: matter and date; participants; what the client said; what advice was given; agreed actions and owners; open questions. Keep attributed statements attributed. Do not let an automatic rewrite turn “Casey said” into “the contract establishes,” or “did not approve” into “approved.” If exact quoted language matters, verify it from the permitted source; a polished dictation is not a verbatim record.

Before pressing the hotkey

  1. Confirm you are in the correct matter and field in the firm's approved app. A wrong-window paste can disclose a note even when speech recognition runs locally.
  2. Check SuprFlow Formatting. Use the firm's approved mode. Default cleanup is local; hosted formatting is a separate provider transfer. If Ollama is permitted, confirm its endpoint is the approved host.
  3. Check local transcription history and clipboard-history settings against the firm's device-retention policy. The ordinary insertion path briefly uses the Mac clipboard; another clipboard manager may retain a copy.
  4. Use a synthetic matter for initial setup and any troubleshooting. Record the installed app version and destination behavior before real work.

Review before the note becomes a record

Read the note as if another lawyer will rely on it months later. Correct names, dates, clause numbers, amounts, negations, advice, and action ownership. Mark uncertainty as uncertainty; do not silently “clean up” a contested fact. Add any source or follow-up references required by the firm's practice-management rules. Confirm the file and access list, then save the reviewed note. SuprFlow history is a convenience copy, not the firm's official record.

If the note contains privileged or especially sensitive material, the firm may require extra controls or prohibit dictation entirely. A local speech model reduces one transmission path, but the destination app, backups, telemetry, account traffic, and optional formatter remain part of the assessment. Follow the matter team's decision rather than treating a product page as permission.

Questions people ask

Should I use an AI rewrite to make the attendance note more concise?

Only if the firm approves that formatter and its data path. Review the output against the original facts. A rewrite can remove qualifiers, reverse a negation, or make uncertain advice sound final. The lawyer remains responsible for the note.

Does on-device transcription preserve legal privilege by itself?

No. Confidentiality depends on the approved device, formatter, local copies, destination, access, sharing, and the firm's applicable professional obligations. The local recognizer answers only where the speech-to-text step runs.

Can I clear SuprFlow history after filing the note?

Follow the firm's retention policy. Clearing SuprFlow's local history does not erase the filed note, backups, clipboard-manager copies, or provider-held text if hosted formatting was used. In SuprFlow 1.0.0, deleting a single history item may also not persist after a restart; use Clear All and confirm after relaunching.
