An adviser may need a concise meeting note between appointments. The risk is not just whether speech recognition hears the client correctly. The note must land in the correct client record, preserve figures and instructions, distinguish a question from an agreed action, and pass the firm's supervision and retention process. Dictation history in a Mac utility is not a substitute for the approved CRM record.
For a CFA professional, Standard III(E) calls for preserving confidentiality and following the employer's electronic-information procedures. For a FINRA member firm, FINRA's 2026 GenAI discussion highlights governance, supervision, testing, records, and privacy concerns when such tools are used. Those sources do not approve SuprFlow; the firm's compliance owner decides the allowed workflow and applicable rules.
Run a fictional CRM trial
Create a test household named Meridian Sample, with no actual customer data. Open its record in the firm's approved test CRM. Confirm the correct note field has focus, then dictate:
Met with the Meridian Sample household on 9 September. The client asked whether a $12,400 withdrawal would affect their target allocation. I did not recommend a trade during this meeting. We agreed that I will prepare an options summary for review by Friday. The client has not authorized an instruction. Follow-up owner: adviser. This is a draft meeting note pending review.
Before saving, inspect the inserted text. A change from $12,400 to $124,000, “did not” to “did,” or “asked whether” to “decided” materially changes the record. Correct such errors against the meeting notes and confirm the date, attendees, action owner, and status. Do not turn an unapproved customer question into an instruction or a promise.
Follow the data through four places
- Speech recognition: SuprFlow uses a downloaded model on an Apple Silicon Mac. Record the signed build and model; do not assume local speech recognition describes the whole app's network behavior.
- Formatting: Default cleanup is local. Optional Cloud API formatting sends transcript text and instructions to a selected provider. Ollama can be local or remote depending on its endpoint. Use only the mode approved for the client-data class.
- Device copies: SuprFlow can retain recent raw, cleaned, and formatted transcript text locally. It has a separate clipboard-history feature, and ordinary insertion briefly puts final text on the system clipboard. Review the managed Mac's backup and clipboard tools.
- CRM record: The destination may sync, share, and retain the note under its own controls. Confirm the client ID, permissions, review queue, and record status after insertion. The CRM is where the firm's official supervision and recordkeeping process must occur if policy requires it.
For a pilot, IT and compliance should document the allowed formatter, endpoint, local history, telemetry, account/license flows, managed-device controls, and incident response if text lands in the wrong record. Test with synthetic data first. If staff cannot reliably tell when a cloud mode or wrong client field is active, improve the controls before allowing real use.
Questions people ask
Does an offline dictation app create a compliant CRM note automatically?
No. Local recognition describes where speech becomes text. The user still has to check the client record, content, access, retention status, and the firm's supervision process. The required record depends on the firm and jurisdiction.
Can I use an AI formatter to turn rough speech into an adviser note?
Only with the firm's approved endpoint and provider terms. Review every amount, percentage, action, qualification, and negation afterward. A polished rewrite is not proof that the client said or authorized it.
Is the note safe if I delete it from SuprFlow history?
That only concerns a local convenience copy. The CRM, backups, clipboard tools, and any hosted formatter may retain separate copies. Follow firm retention and deletion rules for each location.
