You can dictate in an open office if you speak quietly into a microphone close to your mouth, keep sessions short, and save anything confidential for a private room. A headset microphone does most of the work: the closer it is, the softer you can speak. Some dictation apps say they handle whispered speech, but none can stop the colleague next to you from hearing what you say, so the microphone is not the only listener to plan for.

How do you dictate quietly and still be understood?
- Use a headset or a microphone near your mouth. Apple's Dictation troubleshooting page says: "If you use Dictation in a noisy environment or a room with excessive echo, it may help to use a headset microphone." In an open office the noise is your colleagues, so the same advice applies. Best microphone for dictation on a Mac explains what to look for.
- Set the input level for a quiet voice. In System Settings → Sound → Input, select your microphone and raise the input volume while speaking at the level you plan to use. Apple's sound input guide describes the steps.
- Try a soft, clear voice before a whisper. Test both on your own setup with the script below and keep whichever needs fewer fixes.
- Keep sentences short. Short bursts are quieter for neighbours and easier to check.
- Check the text more carefully than usual. Quiet speech and background chatter increase the chance of misheard words. Neighbours' voices can also be picked up and typed into your document.
Do dictation apps have a whisper mode?
Some vendors say their apps handle quiet speech. What each says on its own pages, as of 1 October 2026:
| App | What the vendor says | Where speech is processed |
|---|---|---|
| Wispr Flow | Its features page says "Flow even works when you're whispering, so you can keep dictating in shared, quiet spaces." Its home page FAQ adds that "the closer the mic is to your mouth, the quieter you can speak" | In Wispr's cloud; see Is Wispr Flow safe? |
| Willow | Its home page lists a "Whisper mode" that "handles background noise, whispering, and fast speakers" | See Is Willow Voice safe? |
| Apple Dictation | Apple's troubleshooting page asks you to "speak clearly at a volume that's not too quiet or too loud" and documents no whisper mode | On your Mac or Apple's servers; Keyboard settings say which |
| SuprFlow | No documented whisper mode | On your Mac |
We have not tested whispered dictation in any of these apps. If quiet speech matters to you, run the test below in each app you are considering.
Wispr's FAQ also advises against Bluetooth earbuds for its app, saying "they compress audio and can miss the start of what you say." Apple explains a related effect in an article on Bluetooth audio quality: when a Bluetooth headset's microphone is in use, "audio quality is reduced until the microphone is no longer in use." A wired or USB headset avoids that question.
A 5-minute quiet-voice test
-
Put on the microphone you will use at your desk.
-
Open a blank note. Use the same app and settings for every run.
-
Read this fictional script three times: once at normal volume, once softly, once whispered.
Move the Lindqvist review to Thursday at 3:15. The budget is 7,400 euros, not 4,700. Please do not copy the Oslo team.
-
Count the fixes needed each time: the name, the time, both numbers, and "not."
-
Do it at a busy moment in the office, not at 7 a.m.
Use the quietest level that still needs few fixes. If soft speech fails badly, the microphone is usually the first thing to change.
What is good open-office etiquette for dictation?
- Tell the people around you. A colleague who knows you are dictating is less likely to think you are talking to them.
- Face away from neighbours and keep your voice pointed at your microphone.
- Use short bursts, not long monologues. Dictate a paragraph, then type or edit.
- Know your office's norms. Some teams set quiet zones or focus hours. Dictate outside them, or in a booth.
- Stop recording when you are not speaking. A hold-to-talk key stops listening when you let go, which also keeps nearby conversations out of your text.
What about confidentiality?
Your colleagues can hear what you dictate, whatever happens to the audio afterwards. An app that recognises speech on your Mac keeps the audio off a company's servers; it does not keep your words from the person at the next desk.
So decide what you will never dictate at an open desk:
- Client, patient or customer names and details
- Salaries, performance reviews, HR matters
- Deal terms, pricing negotiations, legal advice
- Passwords and account numbers, which you should never dictate anywhere
For those, type, or move. Your organisation's confidentiality rules apply to spoken words as well as written ones.
When should you move to a room?
Move when any of these is true:
- The content is confidential.
- You need to dictate for more than a few minutes.
- The quiet-voice test needs many fixes at your desk.
- Neighbours have asked you to stop.
A phone booth or small meeting room usually solves all four at once.
Where does SuprFlow fit?
SuprFlow is a push-to-talk dictation app for Apple Silicon Macs with macOS 14 or later. You hold the Fn key while speaking and release it to transcribe, which suits short bursts at a desk. Speech is recognised on the Mac with a downloaded model. It has no documented whisper or quiet-speech mode, and we have not tested it with whispered speech, so treat a soft, clear voice into a close headset as the approach and run the test above. It costs $125 once, with no free tier or trial. If whispered dictation is your main need, test an app that documents it.
Questions people ask
Can I whisper to dictate on a Mac?
You can try. Apple's guidance is to speak at a volume that is not too quiet, and results depend on your microphone. Some apps say they handle whispering. Test on your own setup.
Is it rude to use voice dictation in an open office?
It depends on your office. Short, quiet bursts into a headset are easier to live with than long monologues. Ask your neighbours and follow any quiet-zone rules.
Does a noise-cancelling headset help dictation?
A headset keeps the microphone close to your mouth, which Apple suggests for noisy rooms. Whether a particular headset's noise reduction helps dictation is something to test with the script above.
Can colleagues hear what I dictate?
Yes, unless you move. Local speech recognition protects the audio from servers, not from people nearby.
