Speech to text for students on a Mac: essays, notes and support

A student's guide to speech to text on a Mac: free Dictation first, essays in chunks, checking quotes and citations, AI policies, and disability support routes.

Every Mac already has free speech to text: turn on Dictation in System Settings → Keyboard and you can voice type essays, notes and emails in any app. Dictate essays in short chunks, type quotations and references by hand, and read the draft back before you submit. Dictating your own words is your own writing, but if a tool rewrites your text with AI, check your university's AI policy first, and arrange any disability support through your institution's disability service.

How do you start voice typing on a Mac?

Apple's Dictation guide (macOS 27 edition) gives the steps:

  1. Choose Apple menu → System Settings, click Keyboard, go to Dictation and turn it on.
  2. Click in your document, then press the Microphone key, your Dictation shortcut, or choose Edit → Start Dictation.
  3. Speak. Apple says Dictation "automatically inserts commas, periods, and question marks" in supported languages.
  4. Press Escape to stop. Apple says it also stops on its own "when no speech is detected for 30 seconds."

Apple says you can dictate "anywhere you can type it," which covers Pages, Word, Google Docs in a browser, and your learning platform's text boxes. More detail is in How to use voice to text on a Mac.

How do you dictate an essay without making a mess?

Speaking a whole essay in one go rarely works. This routine does.

  1. Outline first, by typing or by voice. Dictate a one-line point for each paragraph. It is easier to talk to a plan than to a blank page.
  2. Dictate one paragraph at a time. Say the paragraph, stop, glance at it, move on. Do not fix mistakes mid-sentence.
  3. Leave a marker for anything exact. Say "quote here" or "ref" and fill those gaps by typing later.
  4. Type quotations, references and numbers. A quotation must match the source word for word, and a reference must match your citation style. Dictation can change a single word or a page number without you noticing. Copy quotations from the source and check every one.
  5. Review by listening. Apple's Spoken Content guide says to turn on Speak selection under System Settings → Accessibility → Read & Speak; select text and press Option-Esc to hear it. Wrong words that your eye skips often stand out when you hear them.
  6. Do a final read for homophones. Dictation errors are correctly spelled wrong words, such as "their" for "there," so a spell checker will not catch them.

Names, technical terms and subject vocabulary cause the most errors. Improve Mac dictation accuracy covers microphones, noise and custom vocabulary.

Is dictating an essay cheating?

Dictation turns the words you speak into text. The ideas, structure and wording are still yours, much as they would be if you typed them.

AI rewriting is a different matter. Some dictation apps, and many writing tools, can rephrase or "polish" what you said. Universities set their own rules on that. The University of Birmingham's guidance on acknowledging generative AI use, for example, says students "should be required to explicitly share whether or not they used generative AI" in an assignment, and warns that "a failure to appropriately reference externally sourced, non-original work can result in academic misconduct." Your own institution's rules may be stricter or looser.

Practical rule: a tool that only adds punctuation and capital letters to your own words is closer to a spell checker than to a writing assistant, but read the policy anyway. If it rewrites sentences, read your course's AI policy, and declare the use if the policy asks you to. When in doubt, ask your tutor before you submit, not after.

How do students with disabilities get dictation support?

Through the institution, and in the UK through government funding.

  • In the UK, the government's Disabled Students' Allowance page says DSA is "support to cover the study-related costs you have because of a mental health problem, long-term illness or any other disability." It can help pay for "specialist equipment, for example a computer if you need one because of your disability" and for non-medical helpers such as a "specialist note taker." After you apply, an assessor arranges "a needs assessment," which GOV.UK describes as "an informal meeting to determine what support you can get for your studies." The support "depends on your individual needs - not your household income."
  • Elsewhere, contact your college or university's disability or accessibility service. They decide what adjustments apply in classes and exams, including whether you may use speech to text in a timed assessment.

Exam use is the point to settle early. Being allowed dictation for coursework does not automatically mean you can use it in an exam, and the institution may provide its own equipment for exams.

For dyslexia and ADHD specifically, Dictation software for dyslexia and ADHD summarises what dyslexia organisations say. No dictation app treats a condition or raises grades by itself.

When is a paid dictation app worth it for a student?

Usually it is not. Apple's Dictation is free, and Best dictation app for Mac lists free third-party options too. A paid app makes sense only if you dictate every day and a specific problem keeps costing you time, such as subject terms that are always wrong or the start-stop routine of built-in Dictation.

SuprFlow, which publishes this guide, is one such app for Apple Silicon Macs with macOS 14 or later. You hold the Fn key, speak, release, and the text is pasted at your cursor. Speech is recognised on the Mac with a downloaded model. Default formatting is local cleanup of punctuation, capitalization and numbers; it does not rewrite your sentences. Its optional AI formatting follows instructions you set and can change wording, so check your course's AI policy before turning it on. It has a personal dictionary for subject terms. It costs $125 once, with no free tier or trial, and it does not record or transcribe lectures. We have not run a controlled benchmark against Apple Dictation.

Questions people ask

What is the best speech to text software for students?

For most students, the free Dictation built into the Mac. Try it on a real assignment for a week before you consider anything else.

Can I use speech to text to take lecture notes?

Live dictation captures your own voice, not a lecturer across a room. If recording lectures is allowed, a recording and transcription tool does that job; see How to transcribe a voice memo on a Mac. Ask permission before recording.

Will dictation software improve my grades?

No software can promise that. Dictation can make getting a first draft down easier for some students. The grade still depends on the thinking and the editing.

Can I dictate in a language other than English?

Yes, if Apple supports that language for Dictation. Add it under Keyboard → Dictation → Languages. See Dictate in Spanish on a Mac.
